Guidelines and Submission Instructions

GENERAL TERMS AND CONDITIONS

These General Terms and Conditions are valid for each registered attendee of this ASIATOX-XI 2026 congress. Any registered person (delegate, student, press representative, invited speaker, exhibitor, sponsor etc.) is considered an attendee. 

Registration and Payment

The registration and payment deadlines are as follows:
Early registration deadline:  30 April 2026, 24:00:00 (GMT)
Standard registration deadline: 20 July 2026, 24:00:00 (GMT)
Late / on-site registration:  from 3 August 2026, 00:00:01 (GMT)

Everyone who wants to attend ASIATOX-XI 2026 must register. Until the standard registration deadline, the registration to the congress is solely possible via the online registration form. After the standard registration deadline, the late/on-site registration to the congress is possible either via the online registration form or on-site at the registration desk by completing the manual registration form on-site. Complete the online registration by clicking the button “Sign Up” on the website and pay the registration fee by bank transfer.

Early registration fee is only applicable to those who have completed the payment by 30 April 2026 or issued the Malaysian Government Local Order (LO) by 30 April 2026. Participants who would like to register at reduced registration fee (e.g. students or MySOT members) require to provide the necessary proof during registration (e.g. valid student ID card or an official letter from your institution confirming that you are a full-time undergraduate or postgraduate student or MySOT membership certificate). All registration fees must be paid in full according to the given deadlines of the booked ticket. Otherwise, ASIATOX-XI secretariat reserves the right to change the registration to a higher registration fee. Payments are only accepted in MYR or USD and can be made via Visa, Mastercard, online banking (FPX) or Malaysian Government Local Order (LO). Any bank charges must be paid by the participant. Cheques are not be accepted. All registration fees must be fully paid prior to the congress. Exceptions can only be made, if a written request has been officially confirmed by the ASIATOX-XI secretariat. In this case, payment may be made on-site at the registration desk by direct bank transfer. Only after full payment has been received, the registration will be considered valid.

A group discount applies for a minimum of five (5) participants. Each participant must register individually through the online system and indicate the name and email of the Group Coordinator. The Group Coordinator is responsible to made the payment as a single consolidate transaction and include all the emails of the members. 

Visa Requirements and Invitation Letter  

It is the sole responsibility of the attendee to take care of his/her visa requirements. Attendees who require an entry visa must schedule sufficient time for the application procedure. Attendees should contact the nearest embassy or consulate to determine the appropriate timing of their visa applications. It is recommended to apply for a visa at least three months in advance of the congress. Everyone who requires an official Letter of Invitation can request it during online registration. Invitation Letters will be issued only for registered delegates, who fully paid their registration fee. Invitation Letters will be issued electronically (as PDF file via email). Upon request, a hand-signed hard copy can be sent via regular mail service. Kindly note that tracking of regular mail is not possible and that mail delivery times are beyond the organizer’s control. Express delivery is possible upon request as well but will involve an extra service charge. Issuing the Invitation Letter does not financially obligate the congress organizers in any way. All expenses incurred in relation to the congress are the sole responsibility of the attendee.

Publication of Abstracts

According to the publication policy of ASIATOX-XI 2026, only abstracts from authors who have registered and fully paid the registration fees according to the payment deadline mentioned in their invoice, will be published in the abstract book. Furthermore, the poster or oral presentation must be presented by the author (or at least any of its co-authors) in person on-site. Hence, the abstract will be deleted from the abstract book afterwards, in case of no-show/no presentation on-site.

Name Badge

On arrival at the congress venue, every attendee needs to proceed to the registration desk first to pick up the name badge and the congress material. The name badge must be worn at any time during the congress and entrance to the congress premises will only be allowed when presenting a valid name badge. If an attendee loses, misplaces, or forgets the name badge, a handling fee of RM 15.00 will be charged for re-printing the badge. Upon handing out a new name badge, the lost badge will become invalid.

Film, Photo and Video Recordings

Accordingly, please be informed that you may be filmed or photographed at any time (e. g. in the session rooms, or in the poster and exhibition area) and any presentation you deliver may be recorded. With the registration to the congress, attendees confirm and agree to the publication of the above-mentioned photo/video material on ASIATOX-XI related websites, social media channels (LinkedIn, Twitter, Instagram) or printed matters.

Cancellation and Refund Policy 

Any cancellations and registration changes must be communicated to ASIATOX-XI secretariat in written form (by email) and is subjected to approval. Request for cancellation of registration must be submitted thirty (30) days before the congress date. However, only 50% of the total registration fee paid will be refunded. Cancellation requests received less than thirty (30) days prior to the scheduled congress date will not be considered and 100% of the paid amount would be forfeited. Refunds will be processed within thirty (30) days of approval and will be refunded via online bank transfer. Any finance charges, including but not limited to bank fees, foreign exchange charges, etc., incurred for the processing of this refund will be borne by the payer. ASIATOX-XI secretariat is not responsible for any other incidental costs incurred by the plans to attend the event, such as hotel accommodation, travel costs, etc; no compensation will be provided in the event of any cancellation made by the attendees. For Group Registration, cancellation will not be processed separately for specific items or components within the package. ASIATOX-XI secretariat reserves the right to refuse cancellation/refund requests that do not comply with these terms and conditions.

In case of cancellation due to rejection of the submitted abstract, you have the choice to attend the congress as a non-presenting attendee or request for cancellation. The cancellation request is subjected to the similar terms and conditions mentioned above. In case of cancellations due to denied Malaysian visa application, the full registration fee minus a processing fee of USD 50.00 will be refunded after the congress, if the visa was applied on time (at least 2 weeks before the congress date). To apply for the refund, a proof of timely application together with an official notice from the embassy confirming that the visa could not be granted needs to be forwarded to ASIATOX-XI secretariat by email. No refund will be given to no-show attendees.

Cancellation of Continuing Education Courses (CECs)

For booked CECs, the cancellation fees as stated above will apply. If the number of attendees at one of the CECs is below 20, the organizer reserves the right to cancel the session. In this case, participants will be informed in due time and receive a full refund of the paid fees.

Cancellation of the Congress | Force Majeure 

If ASIATOX 2026 cannot be held or is postponed due to events beyond the control of the congress host (“force majeure”), neither the host nor the congress organizer can be held liable for any damages resulting for the attendees. Under these circumstances, the congress organizers reserve the right to either retain the entire registration fee and to re-book it for a future congress, or to reimburse the attendee after deducting costs already incurred for the organization of the congress, which could not be recovered from third parties.

Insurance

The registration fees do not include insurance of any kind. The organizers cannot accept any responsibility or liability for injuries or losses sustained because of any cancellations, accidents, illness, or other occurrences that may arise in connection with the congress or its evening events. Participants are advised to organize appropriate travel and health insurance themselves.

Liability

ASIATOX-XI is not liable for any losses of things, in accidents, destructions and damages of property and/or in the injury of persons, the reason does not matter. Participants and accompanying persons participate in all congress events on their own risk.

Severability Clause

If there is a determination of these Terms and Conditions to be ineffective or impracticable, then the validity of the Terms and Conditions remaining are not impaired. The parties are obligated to cooperate to replace the ineffective or impracticable clause by an effective or feasible clause, which results in the ineffective or impracticable clause being closed.

The abstract submission for ASIATOX-XI 2026 is linked to registration. The submission of an abstract is therefore only possible if the participant has registered for the congress in advance. If you indicate during registration that you would like to submit an abstract, we will automatically create an account for you on our abstract submission platform. You will receive the access data with the automatic registration confirmation directly after completing the online registration.

Please kindly note that registration and abstract submission can only be considered completed if we receive your payment not later than 10 days after we sent out the notification of abstract acceptance. If you do not pay the fees until then, the standard fee will apply. In case your abstract was not accepted you have the right to cancel your registration to the congress free of charge. All paid amounts will be reimbursed in full.

Rules and guidelines for abstract submission

General rules for abstract submission:

  • Each registered delegate may submit one or more abstracts. Please note that submission of additional abstracts is subject to a processing fee of USD 100 or RM 300 per abstract.
  • Invited speakers are entitled to submit an abstract for poster presentation in addition to their invited speaker abstract.
  • Abstracts can be submitted for poster presentation or for short oral communication. The final decision whether an abstract is accepted as a poster or as a short oral presentation, or even rejected, lies with the reviewer and the ASIATOX-XI 2026 Scientific Committee.
  • Only abstracts submitted within the regular submission period by registered delegates who have paid the full registration fee will be published in the abstract book “The Journal of Toxicological Sciences” by Japanese Society of Toxicology.

Submission guidelines:

  • The prerequisite for submitting an abstract is that it represents original work, not previously published and not being considered for publication elsewhere.
  • Abstracts must be submitted in English language only.
  • The abstract should be no longer than 250 words, written in single line paragraph.
  • Any pictures, attachments or similar are not allowed/will not be displayed.
  • The abstract should state the purpose, methods, results and conclusion of the study without the subheading.
  • Please ensure complete listing and correct order of all (co-)authors, correct formatting and grammar. Accepted abstracts will be printed and published as they have been submitted.
  • All submitted abstracts can be edited until the submission deadline. To view or edit your abstract please use the link and log in to your abstract submission dashboard.
  • Please indicate at least three (max. five) keyword(s) when submitting your abstract (free choice of keywords).
  • Together with your abstract submission, you may apply for travel grant awards, subject to eligibility criteria. These awards are provided by MySOT (for more information, see the “Travel Awards” menu).

New Users (First-Time Registration)

After successful submission, you will receive an activation email. If you do not see the email, please check your Spam/Junk folder.

 Activate Your Account

  • Click “Activate Account” link in the email.
  • Your account will be activated, allowing you to log in to the system.

If you forgot the password, click “Reset” and follow the instructions sent to your email.

Abstract Submission

Once you have successfully logged in, you will be redirected to the Conference Abstract Dashboard.

To submit an Abstract

  • Click “+New Abstract”
  • On the left-side panel, complete: Title, Abstract, and Keywords
  • On the right-side panel, choose one topic most relevant to your presentation
  • Fill in Author(s) Information
    • Click the “+” or “–” button to add or remove co-authors
    • The authorship order will follow the sequence of authors entered
  • Fill in the Presenter Information (presenting author)
    • Select your preferred session
  • Once all information is complete, click “Submit” button at the top.

You will receive a notification email confirming the submission and informing you of the acceptance status of your abstract.

 To Submit an Additional Abstract

Participants are welcome to present more than one scholarly work at the Congress. Please take note that a processing fee of USD 100 / MYR300 applies for each additional abstract submitted.

If you wish to submit another abstract:

  • Click “+New Abstract”
  • Follow the same steps as above.

Registration Fee Payment

To proceed with registration fee payment (individual):

  • Go to the Fee menu and select Buy Ticket
  • Choose the ticket according to your registration category
  • You will be directed to Cart page
  • Click “Proceed to Checkout”
  • Complete the Billing Details and Attendee 1 information
  • Select your payment method and proceed with “Place Order”
  • Follow the banking instructions until payment is successful.

For Group Coordinators (paying on behalf of a group)

  • Ensure all group members are registered in the system
  • Go to the Fee menu and select Buy Ticket
  • Choose the ticket according to your registration category
  • Adjust the ticket quantity accordingly, or
  • Click “Continue to Buy Ticket” to add tickets of a different category
  • Click “Proceed to Checkout”
  • Complete the Billing Details and Attendee 1 information.
  • Provide information for your group members under Attendee 2, Attendee 3, and so forth, following specific category (e.g. students or delegates), if applicable.
  • Select your payment method and proceed with “Place Order”
  • Follow the banking instructions until payment successful.

Payment via Local Order (LO) for Malaysian Delegates

  • Request an official Quotation from the Secretariat at registration@asiatox2026.com
  • Ensure all group members are registered in the system, then provide their full names and email addresses in your request
  • Prepare your institution’s LO based on the issued quotation.
  • During checkout, upload a PDF copy of the approved LO to complete your registration.

Once payment is confirmed, you will receive the Congress Ticket via email. Visit your Payment Dashboard to see or download related details.
